Plant Bot Computing privacy notice

Plant Bot Computing is the curriculum product developed by Root Reboot, an X7 Systems company. This notice explains what happens when a school, academy, partner or enrichment provider submits a pilot enquiry or uses the public G-Root guide.
What the pilot form collects
The pilot form asks for the contact person's name, work email, organisation, role, country or region, intended age range, approximate learner count, delivery model and what the pilot should prove.
What not to send
Do not send pupil names, pupil records, medical details, safeguarding information, EHCP details, passwords, API keys, private Google Drive links, live exam papers or mark schemes through the public form, G-Root or ordinary email.
How pilot enquiries are used
- To reply to the enquiry and decide whether a pilot conversation is sensible.
- To understand age range, standards priority, delivery model and evidence requirements.
- To prepare a suitable sample-unit or evidence-pack conversation if the scope fits.
- To improve public curriculum information using anonymous themes and demand patterns.
G-Root public mode
G-Root on the public site is a curriculum guide. It can answer public questions about the curriculum, standards, assessment model, Google-ready delivery and pilot route. It must not be used for pupil records, staff-only files, live assessment material or safeguarding disclosures.
Where information is handled
Pilot enquiries are handled through Cloudflare infrastructure for the website and may be sent to the X7 team by email. If a pilot progresses, any Google Workspace, Classroom, Drive, NotebookLM, Gem or other tool setup must be agreed separately with appropriate access and data boundaries.
Retention
Pilot enquiries are kept while they are useful for responding, scoping a pilot, managing partner conversations and maintaining a basic audit trail. Enquiries that are not progressing should be archived or deleted during routine review.
Your choices
You can ask what information is held about your enquiry, ask for correction, ask for deletion, or object to further contact about a pilot. Email [email protected].
Guidance basis
This notice follows UK privacy-transparency principles: people should be told what data is collected, why it is used, how long it is kept and who it may be shared with. School deployments need their own data-protection review before any private learner information is processed.
